Everything you need to know about monday.com project tracking

How do you handle project tracking and execution for client-facing or internal projects?

Spreadsheets are a classic tool, but tracking tasks to completion and creating reports is manual and highly subject to error.

Online collaboration platforms like Slack and Basecamp are great for facilitating conversations and decisions, but they aren’t really built for tracking the progress of hundreds of tasks against different client budgets and timeframes.

If you need to keep tabs on the progress of various projects accurately, how your team is performing, if you’re overrunning on budgets and timelines, and where you can plan better for next time, you need purpose-built project tracking complete with robust timekeeping.

In this article, you’ll learn:

  • What project tracking entails and how time tracking is integral to its success
  • How time tracking can positively shape your team and enhance business performance
  • How to set up the 7pace Tmetracker for monday.com integration to gather the time data you need to effectively manage task completion, build timelines, understand capacity, and deliver projects on time and on spec

What do we mean by project tracking?

Project tracking is an element of project management that involves monitoring the status and progression of all the tasks required to complete a project.

With robust project tracking, project managers can provide more precise project status reports highlighting progress, determine whether the project is on track to meet its scheduled completion date (and make adjustments if not), and be better prepared for even more accurate budgeting and planning on the next project.

From a company-wide perspective, project monitoring is critical to developing a comprehensive understanding of what’s happening within a company at any moment. This level of oversight makes for better business planning, informed decisions on staffing, and accurate profit projections.

The power of project tracking for teams of all sizes

Whether you’re part of a small startup with internal deliverables or a large enterprise with complex projects, implementing project tracking can bring about significant benefits and positively influence project team performance.

With that, let’s delve into why teams of all sizes should embrace project monitoring software.

Impactful, timely prioritization

One of the key advantages of project tracking lies in its ability to enhance task prioritization.

Most project tracking apps have features that enable project managers to assign different difficulty levels and importance to tasks. This flexibility ensures you do the right things at the right times to move the project forward and hit stakeholder milestones.

In addition, systematically monitoring the progress of tasks and milestones helps teams identify and reprioritize aspects requiring immediate action to be done on time. The foresight that good project monitoring provides lets you deploy resources quickly to handle high-priority tasks.

Realistic retrospecting = better project planning

How much time, how many resources, and how much money will a particular project take?

These are the top questions when it comes to forecasting software projects.

And the best way to answer them? Using historical data on the time, money, and staffing resources the last similar project required.

By closely monitoring projects and conducting retrospectives after each, team leads have data about how much effort each task should take. With this realistic look backward, they can build better paths forward with realistic, accurate project plans that eliminate (most) surprises.

Smoother, more satisfactory deliveries

Better project planning makes for way better project deliveries.

On the execution side, constantly evaluating progress and addressing roadblocks promptly helps teams enhance the quality of deliverables and the precision with which they can meet deadlines.

On the client or project stakeholder side, this makes for less deadline stress, less QA time,  higher satisfaction with the deliverable, a positive impression of the team, and, ideally, retention and referrals.

Save the surprises for parties — when delivering new features or projects, the fewer surprises, the better. Effective project planning makes that possible.

Increased efficiency (and team morale)

Maybe we don’t always love surprises around here, but that doesn’t mean we don’t like a good outlet for building team spirits.

Perhaps unexpectedly, project planning offers a morale boost by optimizing efficiency.

Efficient project management is one of the cornerstones of project success, and tracking plays a pivotal role in boosting it. That’s because teams improve their work’s speed and effectiveness when they clearly understand task dependencies and priorities, budget and timeline expectations, potential bottlenecks, and resource availability.

Tracking not only enhances productivity — it also contributes to a positive work environment. Project tracking eliminates all-night sprints to finish on time. Instead, team members can bond over the steady march toward completion and witness the tangible results of their efforts in real time. This transparency provides a morale lift and fosters a culture of collaboration and success.

(Psst, maybe now is a good time to plan that surprise project-completion party for your team!)

Introducing: Project tracking apps

All those benefits sound great, but what can you do to bring them to your organization now?

Luckily, the next step is pretty simple. It’s time to implement project-tracking software into your tech stack.

Robust project tracker platforms allow managers to lay out project tasks and attach timelines, budgets, dependencies, and critical notes and files to each. By enabling team members to update the status and time spent on each task, these apps also empower leaders to gauge progress in task execution, budget spend, and whether resources are being under- or overutilized.

Using a project tracker also consolidates all project data into a single source, allowing for easily shared reporting and progress oversight for internal stakeholders, external clients, business units needing insights for resourcing and client billing, new team members, and more.

Project tracking software has become crucial to ensure adherence to project timelines and budgets and ensure future projects do the same.

If you don’t already have a monday.com account, you should see a Get Started button here. Clicking the button will take you to monday.com to create an account and set up your first board. No credit card entry is required in this process.

Pro tip: A “board” is the canvas where everything happens on monday.com. It’s a collaborative, interactive location where you can visualize projects and tasks.

2. Choose a template

After installation, you should land on a “Welcome to the app!” page.

Now, you can add 7pace to a workspace or start with a template. To get the full power of the 7pace integration and get started with monday.com project tracking even faster, we recommend selecting Add a template.

Choose Full template to take advantage of everything 7pace Timetracker has to offer.

3. Turn on automations

After choosing which workspace to add the 7pace app to, you’ll find yourself inside monday.com, looking at a guide on using 7pace Timetracker. That means you’ve set everything up successfully and are now using your folder 7pace Timetracker – Full template. (Hover over the title and click the three dots to the right to rename and customize this later!)

Several boards, pages, and projects are already set up in this folder. We prebuilt everything in this project tracking template so that tasks, projects, and people are interconnected. This setup is how 7pace aligns with monday.com project tracking to give you an accurate, real-time account of project progress.

We’ll explore more soon — but first, look in the left-hand column at the two boards labeled ECO-Web and COR-Brand. Here, we need to enable some automations to make sure everything works when tracking time on tasks.

Pro tip: A task in monday.com is a unit of work that lives on a board. Tasks contain details such as owner, status, project, and deadline. Files, conversations, and 7pace time tracking live inside tasks.

Now, let’s complete the integration. Click the Integrate link near the top of the page on your ECO-Web and COR-Brand boards.

On the next page that pops up, you’ll see a Board automations link at the top of the screen.

Click this and scroll until you find the 7pace Timetracker automations, toggled off.

Click the Edit fields here links, select Hours spent from the drop-down menu, and select Update integration. Back on the Board automations page, toggleautomations On.

Repeat this for each board that contains tasks. (If you’re just getting started with our project plan template, you should only have to do this on the “ECO-Web” and “COR-Brand” boards.)

Now, you should see an Hours spent time tracking column associated with tasks on the boards you updated. And just like that, the 7pace Timetracker for money.com is ready to help your team easily track time against tasks to visualize your progress quickly.

(Note: As you move around your new template, you’ll notice that some areas ask for 7pace access. Use the Grant access button to authorize the 7pace integration to connect with your monday.com data. It needs this information to track time correctly.)

4. Test out time tracking

Now, you can click on any of your tasks to open a more detailed page, where you’ll see options to add updates and files and use the 7pace Timetracker.

Add time manually or by using the quick buttons to the right. You can also include a comment with additional details. Save your entry and go back to the full board view to see how Hours spent, Total hours spent, and the running sums automatically update with this new information.

Remember, you can always go back to the How To – 7pace Timetracker page at the top of your monday.com project tracker template to check out our full setup walkthrough and links to even more resources. You can also contact us via our support center for more assistance.

5. Customize your new project tracker

Once you confirm that everything works, it’s time to make your mark on your customizable template.

Update the People and Roles boards with the correct names and rates to help with budget tracking. Then, hit up the Projects Portfolio board to enter schedules, names, IDs, clients, rates, and other requirements for your current projects. You can rearrange and rename any of these boards as you go.

Pro tip: You don’t have to use Project IDs, but we find them helpful if you use monday.com for several projects across clients or departments. You only have to set them up once, and then you can simply attach the right ID to tasks to automatically link the right budget, timeline, and other details. Using a Project ID also keeps the Project Overview board up to date.

Finally, you can rename, update, copy, and otherwise organize the task boards. We got you started with (“ECO-Web” and “COR-Brand”) to reflect the nature of your work. Customize each task using columns like status, owner, deadline, hours planned, hours spent, and project identifier. On the far right side of your board, you’ll see a +button to add more column types to further personalize and organize tasks.
